A useful payment setup fits your day-to-day work. Begin with where customers pay and what your staff needs, then compare providers against those requirements.
Map out where you take payments
List the ways customers buy from you: at a counter, on a website, at an event or after receiving an invoice. Include any channels you expect to add soon.
For each channel, identify the checkout experience and tools you need. A countertop terminal, an online checkout and a mobile reader solve different problems. Confirm that each option works with your existing systems.
Choose equipment around the work
Think about connectivity, portability, staff access and whether you need inventory or booking features. Ask for the exact device and software names in a proposal.
Clarify ownership, installation, replacement and return arrangements. Compare the full cost of buying, renting or leasing equipment rather than just the monthly figure.
Make payment security part of the setup
The PCI Security Standards Council organizes merchant guidance around people, processes and technology. Its merchant resources include practical vendor questions and guides for common payment systems.
Ask the provider how your setup affects your responsibilities, which tools are supported and how security requirements will be explained. Do not assume that purchasing a terminal removes every payment-security obligation.
Ask how funding and support work
Confirm the funding schedule, any conditions that affect availability, and where deposits can be reconciled against sales. Ask how you can get help during your busiest business hours.
You should also understand the application process and any documentation needed. Eligibility, terms and equipment compatibility need to be confirmed for your business.
Prepare for a useful quote conversation
You do not need to send card numbers or bank credentials to begin a conversation. A short description of your business is a better starting point.
- Your business type and how you sell.
- An approximate monthly card-sales volume.
- Your typical transaction size.
- The software and equipment you already use.
- The payment problem you most want to solve.
- Whether you are starting out or switching providers.
